How do I reconcile the payouts?

Under Finance → Sales to payouts you see the daily sales and the corresponding payouts (paid out 2 days later according to T+2 payout model). You can download each settlement batch and get the settlement information on a transactional level. More information can be found below:

Overview

Payouts can be reconciled using the 'Settlement detail' report, which specifies all balance movements that explain the financial standing of your merchant account with Adyen. Examples of such balance movements are transaction level receivables (e.g. settlements, refunds, chargebacks) and balance movements (e.g. invoice deductions and reserve adjustments). Additionally, the 'Aggregate settlement details' report can be used, which specifies all balance movements over a configurable period of time and therefore multiple batches.

There are three ways in which you can reconcile payouts, which can be roughly divided into manually, on batch level, and on transaction level, and are explained below.

Manually

Whenever you are interested in reconciling a payout at any moment in time, you can manually download the 'Settlement detail' report of that particular batch from the Customer Area.

When using the 'Aggregate settlement detail' report, filter column 'Journal Type' on 'Merchant Payout'. The batch number of the payout can be found in column 'Batch Number'. The date and amount of the payout can be found in columns 'Creation Date' and 'Gross Debit'.

Transaction-level reconciliation

This guide shows how to reconcile the costs of transactions and the payout amounts in a single payout batch on a transaction level. To do this, you need:

Follow these steps to add up the credits to your account and subtract the debits from your account to verify the total payout amount. Because the Settlement details report is generated for merchant accounts, we recommend doing reconciliation on the merchant account level.

To reconcile payout batches against your bank statement, you need:

If you would like to wield a more automated approach, you can subscribe to the 'Settlement detail' report and ingest this automatically by filtering column 'Journal Type' on 'Merchant Payout'. You can then use your bank statements to check whether you have received your payout based on the amount and (modification) reference. If you would like to automate the reconciliation, you can do so by using the tx id that is included in the 'Modification Reference' column as well as the bank statement reference.

Useful terms

Company account & merchant account

Uniquely identify on which account Adyen is processing

PSP reference

A unique reference provided by Adyen for each transaction processed

Merchant reference

Reference provided by you as a merchant for each transaction processed

Type

The record type of the current transaction

Creation date

The moment at which the transaction causing this movement was initiated (and registered). For example, for a settled transaction this is the moment of sale.

Booking date

The actual moment at which the transaction financially impacted your merchant account at Adyen. This column is not enabled by default, if you would like to activate this column please contact our support team.
